GoodBot Email Accounts

Purpose

GoodBot recognizes that GoodBot emails provide members with a branded communication tool that directly reflects GoodBot and puts the email user in a position of trust. This policy outlines roles that may require use of a GoodBot email.

Scope

This Policy applies to all members of GoodBot, which includes, but is not limited to employees and volunteers.

Policy

The following are guidelines for roles that may require a GoodBot email address:

  • The role has permanent employee status or long term volunteer status

  • It is a public-facing role where a GoodBot account will strengthen their credibility and ability to represent GoodBot work

  • The role has interactions or responsibilities dealing with other members or partners who may need to contact them at any time and vice versa

  • It is expected for the member in this role to check their email regularly and respond in a matter that is reflective of GoodBot’s mission, vision, and values

  • The role deals with sensitive or confidential information that should be kept within GoodBot and a GoodBot email, rather than a personal email

  • The reporting manager approves that the role and member will be strong stewards and representatives for a GoodBot email address.

These are guidelines, and not the only considerations for determining when a GoodBot’s email address will be provided. The final decision will be made by the Chief Executive Officer. GoodBot reserves the right to permit, deny, or revoke a GoodBot’s email at the Chief Executive Officer's discretion.

Members who are permitted a GoodBot’s email are strongly reminded that you are representing GoodBot and that your conduct must abide by our Code of Conduct, particularly the Privacy, Technology & Security Policies.
